Module: Hotel Management (VIPs)
VIP Packages — Hotel Management. Active since 2011.
This module isn’t new either — it’s been part of how host-hotel events are run since 2011. It gives the team full operational control over room inventory and the check-in process for events where the entire hotel is rented, rather than leaving room assignment to hotel staff working from a generic booking list.
Hotel Booking Situation
| Room availability | How many rooms are free, which specific rooms and categories are occupied or fully booked out. |
| Special requests | Captured per guest — single room, non-smoker, ground floor, and similar preferences. |
| Arrival timing | When each guest arrives at the airport, and the estimated time they’ll be at the hotel. |
| Check-in preparation | Rooms and details are ready ahead of the guest’s arrival, rather than sorted out at the front desk in the moment. |
Host Hotel: Full Control
Because the whole hotel is rented for the event, the team runs the check-in process jointly with hotel staff — deciding directly which rooms are occupied by whom. This gives full control over the situation: the team knows who is a VIP and which room they should be given, rather than relying on the hotel’s own, generic allocation logic.
Relationship to Other Modules
Arrival timing links directly to Airport Welcome / Transfer (flight and arrival data), and the underlying room inventory ties to the Hotels module’s own-inventory/VIP-package model — Hotel Management (VIPs) is the operational side of running that inventory on the ground, while Hotels handles presenting and selling the packages to participants.
