Module: Airport Welcome / Transfer

This module isn’t new — it’s been part of the operational backbone of GFNY events for 15 years. What’s new is bringing it into Sabin, turning an established, proven process into something Sabin can actively support and communicate around.

Core Function

Arrival and departure times are captured for every participant (and guest), making them queryable through Sabin — who is arriving when, at which airport, on which flight.

Bike Transport

For events where participants bring their own bikes, the module coordinates bike transport alongside passenger transfer — ensuring the bike arrives with (or is tracked separately from) its owner, without requiring separate manual coordination.

Levels of Service, per Guest

Not every arrival needs the same level of support. The module distinguishes between:

1 A simple welcome at the airport.
2 Welcome plus transfer to the hotel.
3 Welcome plus transfer plus bike transport.

What Sabin Communicates

To the event team Who is arriving, when, at which airport, on which flight — so the welcome team knows exactly who to expect and when.
To the hotel Notification that a guest has arrived and an estimated hotel arrival time, so the hotel can prepare check-in in advance rather than being caught off guard by a guest showing up unannounced.

Why This Matters as a Sabin Module

This turns 15 years of manual coordination — spreadsheets, phone calls, WhatsApp messages between the welcome team and hotels — into a structured, queryable data flow. The information already exists and is already collected; Sabin’s role is to make it accessible on demand and to automate the hand-off notification to the hotel, rather than relying on someone remembering to make that call.

Relationship to Other Modules

This is a natural companion to Venue (which already covers airport links and navigation) and to Hotels — arrival coordination is the connective tissue between „how does someone get here“ and „where do they stay once they arrive.“
